MASP JOB APPLICANT PRIVACY NOTICE

Mallee Accommodation & Support Program Ltd (MASP) recognises the importance of protecting the privacy of information that we collect from you when applying for a job with MASP. 

This notice explains how MASP handles your personal information provided to or collected by us in respect of your application for employment.

By submitting an application for a position and providing us with your personal information you consent to your personal information being collected, held, used and disclosed as set out in this notice.

Applicants do not have to provide MASP with personal information, but if they do not provide the information requested during the recruitment process, MASP may not be able to consider the applicant for the position for which they have applied.

 

Collection of personal information

If you apply for a job with us, MASP will collect personal information about you during the application process.  To the extent permitted by law, this information may include:

  • Information you provide to us directly:
  • Contact information (name, address, phone numbers, email address, etc.);
  • Qualification information and any other information relevant to assessing your fitness and qualifications for the position (such as resume, CV, cover letter, work experience, education, transcripts);
  • Job information (such as expected income, job applied for, employment history, work availability dates, references);
  • Identification details (such as tax file number, or other information needed to verify your legal right to work in Australia); and
  • Other miscellaneous information such as emergency contacts and interview notes.
  • Information MASP collects from other sources:
  • We may also obtain information about you from other sources, such as recruiters, market research companies, your nominated referees and information you have made publicly available through third-party websites, including LinkedIn.

 

Use and disclosure of personal information

MASP will use your personal information to assess your suitability for the position for which you have applied. Specifically, MASP will use the personal information that we collect from you in the application process to: 

  • Review your qualifications and eligibility for the position;
  • Communicate with you about your application and arrange for interviews and appointments;
  • Verify your identity;
  • Verify your legal right to work in Australia;
  • Cooperate with regulators and government investigators;
  • Use in connection with any relevant legal claims and litigation;
  • Comply with applicable laws or legal obligations of MASP;
  • Enforce company policies;
  • Provide you welcome information and/or induction material.

We do not retain your personal information if we decide not to employ you, in which case we will destroy your personal information in our possession.

If we decide to employ you, your information will be transferred to our employee record management system and this notice will cease applying to any personal information that becomes part of an employee record to the extent it is held by MASP as an employer in relation to employment.

MASP will never sell any information collected from you during the application process. 

Personal information may be transferred among MASP.  The information will be stored and processed both manually and electronically in systems using tools for the purposes above. Some of MASP’s systems are maintained by third-party vendors.

Personal information may also be shared with third party service providers or processors, who will process it on behalf of MASP for the purposes above. Such third parties include, but are not limited to: IT service providers, recruiters, investigators, auditors, etc.

Personal information may be shared with government authorities and/or law enforcement officials as mandated by law or legal process, or if reasonably required for the protection of MASP’s legitimate interests.

In the event that MASP is sold to or integrated with another business, your personal information may be transferred to the successor business.

 

Access, update and correction of personal information

MASP will take reasonable steps to ensure that your personal information is accurate, complete and up to date. However, we also rely on you to advise us of any changes to the personal information.

On request, we will provide you with access to the personal information that we hold, including for the purpose of correcting or updating that information, unless otherwise required or permitted by law.

You may request access to, or a correction of, your personal information held by MASP by emailing: hrteam@masp.org.au. On such a request, we will require you to verify your identity and specify what elements of the personal information you wish to access or correct.

 

Security of personal information

MASP will take reasonable steps to protect your personal information from misuse, interference, loss, and from any unauthorized access, alteration, or disclosure.

However, data protection measures are never completely secure and, despite the measures we have in place, we cannot guarantee the security of your personal information. You must also take reasonable care to protect your personal information, for example, by protecting usernames or passwords.

Please notify us as soon as possible if you become aware of any security breaches.

 

Complaints

MASP are committed to resolving valid complaints about your privacy or about our collection or use of your personal information. For questions or complaints regarding our practices or this notice, please contact us by emailing: hrteam@masp.org.au.

We will investigate any complaints received and determine any necessary steps to be undertaken in order to resolve your complaint. We will contact you if we require any additional information and notify you in writing of the outcome of the investigation.

 

Updates to this Privacy Collection Notice

This notice may be updated periodically to reflect changes in our data practices. If we modify this notice, we will post the revised notice on our applicable websites, applications or materials to advise of any significant changes.
